Role

About the Role

As a vital member of the CEA team, the Administrator will be the first point of contact for clients and professionals, offering a warm, confidential and efficient service that underpins the daily operations of our domestic abuse service. Working in a fast-paced, dynamic environment, the Administrator plays a key role in ensuring the smooth running of our office and services.

You’ll be based in our Falkirk office and work closely with our Operational Manager, Team Leaders and front-line workers to support the delivery of trauma-informed, client-focused services.

Organisational Overview

Committed to Ending Abuse (CEA) is a specialist, trauma-informed service based in Falkirk, supporting individuals and families affected by domestic and sexual abuse. As a SafeLives Leading Lights-accredited service, an award that recognises the highest standards in domestic abuse response. We are proud to demonstrate excellence in governance, service delivery, and multi-agency working. We work closely with partners across health, education, social work, and Police Scotland, offering a staged pathway of support for individuals and young people. Our commitment to survivor-centred care, safety, and long-term recovery is embedded in every level of our practice. Our team is made up of dedicated professionals who are passionate about making a meaningful difference in the lives of those who have experienced abuse.

Key Responsibilities

• Act as the first point of contact for service users and professionals, managing incoming and outgoing calls with sensitivity and professionalism.

• Contact new referrals and clients for all three service stages to offer appointments and update diaries accordingly.

• Always maintain confidentiality and professionalism, particularly when handling sensitive client information.

• Carry out daily administrative duties including scanning, copying, ordering supplies, minuting team meetings, and updating forms and records on our Case Management System (OASIS)

• Ensure pool cars are serviced, MOT’d, and road ready.

• Support with maintaining accurate statistics and reporting data for our Operational Manager and Council partners.

• Issue staff ID badges and maintain supply stock.

• Organise and support annual events such as the Children’s Summer Trip and Christmas Party.

• Collect, record and organise donations and resources.

• Ensure weekly fire alarm checks and coordinate general maintenance and repairs within the office.

• Support the design and preparation of youth session plans and materials with the CYP team.

• Offer ad-hoc support to Team Leaders and wider staff, acting as a ‘go-to’ person for various tasks.

What We’re Looking For

We’re seeking a warm, efficient, and highly organised individual who thrives in a supportive team setting and understands the importance of safeguarding, confidentiality, and professionalism in all areas of their role.

You’ll be naturally helpful, able to anticipate needs, juggle multiple tasks, and communicate clearly, both in person and digitally.

Skills and Experience Required

• Experience working in an administrative role, ideally within a support or social care setting.

• Ability to keep calm and problem solve in crisis situations.

• Proficient in Microsoft Office (Word, Excel, Publisher, Outlook).

• Experience in using spreadsheets, collating data, and minute taking.

• Confident and professional in handling phone and in-person enquiries.

• Able to manage a busy workload and prioritise effectively.

• Familiarity with social media platforms and content posting is desirable.

• Experience using or updating a case management system is beneficial.

• Demonstrable commitment to confidentiality and trauma-informed working practices.

• Ability to work on own initiative and as part of a team.

• Ability and confidence in communicating with partnership agencies.
