Role
Stockbridge Parish Church is recruiting an Office Administrator to run the Church office. This is a varied role based in the church office at 7B Saxe-Coburg Street, Edinburgh EH3 5BN.
The core elements of the role are:
- General Administration
- Halls Letting Administration
- Worship Administration
- Media and Communications
The Office Administrator role will be 30 hours/week.
Remuneration will be £19,660 - £21,840 (annual total salary), negotiable based upon the skills and experience.
Successful applicants will be eligible to apply to join a workplace pension scheme (NEST) pension, and will have 24 days (28 days FTE) annual leave including public holidays.
Core elements
General Administration
- You will act as the Church’s first point of contact with third parties, responding to queries from members of the public/congregation, and managing external suppliers.
- You will be responsible for general office administration, including licensing, maintenance requirements and office activities such as filing, printing and photocopying.
- You will provide office support for creation of the Sunday Service materials, including collating Order of Service and powerpoint slides.
- You will provide secretarial and governance support for meetings, including minute-taking for regular (usually monthly) meetings e.g. Hall Letting Meetings, Staff Meetings, Music Hub Meetings.
Halls Letting Administration
- You will handle booking enquiries relating to the Church Halls, administer bookings and ensure the ‘ChurchDesk’ booking calendar is up-to-date and contains all the necessary booking information.
- You will liaise with the Hall’s Letting Committee, including to assess suitability of booking requests and will be the primary point of contact with the Edinburgh Festival Fringe for Fringe bookings.
- You will provide guidance on use of the halls, organise key issue and returns and coordinate hall-keeping and provision of related services (e.g. audiovisual).
- You will ensure that legislative and licensing requirements are met e.g. in relation to Public Entertainment and Performing Rights.
Media and Communications Support
- You will develop further and maintain the Church website and Social Media (e.g. Instagram, Facebook) presence, working closely with management.
- You will design publishing and promotional/marketing materials for Church activities
Person specification
- Excellent written and oral communication skills and the ability communicate effectively by email, phone and in person with a range of people from varied backgrounds, including third parties and other employees.
- The ability to work autonomously, with awareness of when to seek further guidance or input from others.
- Proficient in use of MS Office 365 (Word, Excel, Powerpoint and Outlook etc.).
- Administrative Experience, including servicing meetings and taking minutes.
- Able to handle confidential materials with confidence and sensitivity.
- Ability to prioritise and balance a variety of task, sometimes with competing priorities.
About Stockbridge Parish Church
We are a friendly Parish Church, dedicated to serving the Community of Stockbridge and the surrounding area in the centre of Edinburgh and welcoming visitors to the city. In addition to Sunday Services, we have a thriving Music Hub and the Church halls are used for a variety of activities throughout the week from Parent & Toddler Group to yoga classes. August is a particularly busy time as the Church provides a popular Fringe Venue space. There is a small staff team, which works closely with the Kirk Session (akin to a management committee), Minister and other volunteers to run the Church Activities.
