Role
Provide effective and efficient administrative support for all aspects of ARC Scotland’s provision of Scottish Vocational Qualifications (SVQs) and Accredited Training.
Key Responsibilities
Provide administrative support for training candidates
- Process applications from training candidates
- Register candidate applications onto the ePortfolio platform.
- Review candidate induction paperwork and follow this up as required
- Process candidate completions and withdrawals and ensure records are updated.
- Circulate evaluations to candidates and record feedback
Support marketing and communications
- Respond effectively to enquiries from potential customers by email and telephone enquiries.
- Assist with the marketing and sales of training products.
- Support the promotion of the training department using social media and website.
Support the maintenance of office systems, protocols and procedures
- Assist with the maintenance all office systems for ARC Scotland Training.
- Assist with preparation for inspection and monitoring processes.
- Assist with the production of monthly and quarterly evaluation and monitoring reports.
- Implement new office systems when required.
- Ensure Assessment Centre Policies and Procedures are updated as directed.
Other
- Deputise for the Administrator (Accredited Training) in their absence
- Contribute to team meetings, planning and development processes for ARC Scotland.
- Maintain office supplies.
- General administrative duties, including;
- Photocopying
- Maintain Filing system
- Posting materials at the Post Office and arranging Courier Services when
- required.
- Undertake other duties and be flexible to help meet the needs of a small Charity.
Person Specification
Essential
- Proven administrative and office experience.
- Computer literate with experience of Microsoft 365 or willingness to learn
- Experience of working independently and demonstrating initiative
- Experience of communicating and engaging professionally and with confidence with people at different levels.
- Capacity to prioritize workload, adapt and multitask.
- Willingness to develop professional competence through training and development.
The successful candidate will be required to attend an in-person induction period in the ARC Scotland offices at Eskbank.
Desirable
- An understanding of the SVQ Regulated Qualifications for those working within the Health & Social Care Sector.
- Experience of working within an SQA assessment centre
- Aptitude for new IT applications
- Experience of using Microsoft Forms
- Ability to commute
